2019-2Q: SIMPLer: Autotax

New feature to poll TAXes per ZIP/postcode has been added to the SIMPLer system. The feature consists of two main parts:

(1) Autotax Calculator

(2) ZIP/PostCode-TAX source

In order to enable Autotax calculator go to the Settings -> TAX Calculators (fig. 1) and enable the Autotax module (Fig. 2). Note you must enter your WISP ID to retrieve data source.

Fig. 2

Data source can be accessed from Settings -> ZIP codes (Post Codes) page (fig. 3). From this point you have ability to do multiple things (Fig. 4)

Fig. 4

(1) Add/Edit single ZIP/Postcode

(2) Group ZIP / Postcodes for easy management

(3) Associate ZIP / Postcodes with existing TAX Zones

Ad (1) If you add/edit single ZIP/Postcode you have the ability to (a) define new TAX zone that will be associated with that ZIP/Postcode or (b) select from existing TAX zones and associate that with ZIP/Postcode (Fig. 5)

Fig. 5

If you select existing TAX zone and update any of its information it will create a new TAX zone and assign it to a ZIP/Postcode

You can associate multiple TAX zones with a single ZIP/Postcode. The important parameter is "Valid From" date. Autotax system will always use the TAX zone with the youngest date that matches the invoice date.

For example if we have TAX ZONE A with date "Feb 1st, 2019" and TAX ZONE B with date "Mar 1st, 2019":

- Invoice dated Jan 1st, 2019 will not get generated and system will throw an error that there are no TAXES found for that date

- Invoice dated Feb 1st, 2019 will get generated with TAX rates defined by TAX ZONE A

- Invoice dated Mar 1st, 2019 will get generated with TAX rates defined by TAX ZONE B

Ad (2) For easy management you can group ZIP/Postcodes - so when assigning them to TAX zones you select a group of ZIP/Posctodes instead of selecting single ZIP/Postcodes (Fig. 6)

Fig. 6

Ad (3) Instead of assigning TAX zone to every single ZIP/Postcode one by one there is a page where you can do it in a quicker way (Fig. 7).

From the list on the right side you can select ZIP/postcode(s), set the date and by double clicking on a selected ZIP/Postcode or cliking arrow left move the ZIP/Postcodes to a given TAX zone.

You can also make use of groups that were set under (2). If you select the group name (or multiple groups) then all ZIP/Postcodes will be pre-selected so you can move the whole group to the left list.

Once the updates are done click "Update" to save changes

Note: you can not remove ZIP/Postcodes that were assigned to TAX zones from this level in order to avoid mistakes that could cause issues.

On this same page you can create a new TAX zone by clicking "Create New TAX Zone".
